Articles and Tools: To Project or Not to Project?
The question: to-do list or project?
In a given work day, many things can come that require (or "request" ) you take you some action, in order to achieve some result. Sometimes these are isolated requests such that they appear once and then are "off" of
your to-do list. At other times, longer and more complex efforts are required - such that the request needs it's own special "to-do" list.
Projects offer organization and control
When results require more complex, drawn out efforts, projects
offer an effective means to "divide and conquer" everything that needs to be done. By breaking
the overall result you need down into component parts, one can better
plan and manage. By definition, a project is a set of related activities
that together are designed to produce some result.
Projects allow you to manage cost, risk and quality
Projects offer a means to monitor cost, risk and quality. Cost can be
measured in time as well as money - and generally a project is created
when efforts require substantial investment of time. By organizing, planning
and paying attention to issues risks that arise, a manager can manage
if not control the level of risk involved. And by involving others and
coordinating activities, a project approach can help ensure a high level
of quality.
Projects help set expectations
Projects offer an effective means to set and manage expectations. You can educate everyone involved on the concerns, potential risks and problems, so they know what to expect and when. This can lead to happier people all around. No one likes to be promised "it will be done tomorrow" only to find themselves waiting three additional weeks.
